The company operates an AI-powered platform for clinical trial recruitment, Expanded Access Program management, and Real-World Data collection, serving 17,000+ patients, 3,000 physicians, and 350 sites across 134 countries. The Operational Excellence Manager will lead process improvement initiatives across the organization, reporting to the Director of Operational Excellence. This is a hands-on, cross-functional role in a growing function with meaningful opportunity to shape how operational excellence is embedded into the company. Key responsibilities include: - Identifying inefficiencies and delivering scalable process improvements with measurable outcomes (end-to-end: definition, design, implementation, adoption, tracking) - Managing multiple operational excellence initiatives with oversight of scope, plans, dependencies, risks, and stakeholder actions - Serving as the interface between Operations and Product Development to ensure processes are enabled by systems and tooling, including AI and automation - Identifying opportunities for AI tools and automation to reduce manual effort, improve consistency, and accelerate throughput; collaborating with the AI/Automation workstream to scope, test, and embed solutions while maintaining appropriate human oversight in regulated contexts - Leading GxP/CSV (Computer System Validation) implementations in partnership with Quality and Product teams, ensuring proper documentation, test evidence, traceability, training alignment, and change control - Driving stakeholder alignment and change adoption through practical rollouts that respect operational constraints and provide enablement - Creating and maintaining high-quality process documentation (process maps, SOPs, work instructions, templates, decision logs) and establishing standards for consistent, accurate documentation including AI-generated content review and approval - Developing training materials and coordinating training delivery to ensure process changes are adopted and sustained - Defining KPIs upfront per initiative, measuring, tracking, analyzing trends, and reporting impact using data analytics tools Requirements: - 4–6 years of experience in Operational Excellence, Process Improvement, or Operations with demonstrated success leading cross-functional improvement initiatives - Proven experience operating in validated environments and executing or participating in CSV activities for GxP-touching systems - Comfortable working with AI tools in a professional context as a critical and informed user (not necessarily as a builder) - Strong capability in process analysis, continuous improvement methods, and data-driven decision making - Experience with project/process management tools; Smartsheet is a plus - Excellent communication and stakeholder management skills with ability to drive change in fast-paced operational settings - Comfortable operating in a maturing function where frameworks are being built rather than inherited - Strong writing skills and high standards for documentation quality; ability to coach and enable others to follow the same standards - Highly preferred: work experience in life sciences (drug development, expanded access programs, clinical trial recruitment) and/or highly regulated environments Note: This is a hybrid role requiring candidates to live within commuting distance of the Amsterdam office.
