Mach9 Robotics is an AI-powered CAD software company for civil engineering and infrastructure design, backed by Y Combinator, Quiet Capital, and notable founders including Kyle Vogt (Cruise), Amar Hanspal (Autodesk), and Scott Belsky (Adobe). The company is currently ~30 people and scaling to ~75 over the next 18 months.
You will own complete responsibility for Mach9's physical office and workplace operations in San Francisco. This is a 100% in-office role reporting to the Head of Business Operations and Finance. You will be the single point of accountability for all office operations—not coordinating with others, but directly owning outcomes.
Key responsibilities include:
- Day-to-day office operations: cleanliness, organization, security, functionality, and welcoming environment
- Guest and candidate experience management: greeting visitors, managing interview logistics
- Workplace logistics: snacks, beverages, team lunches, kitchen/office supplies, furniture, equipment
- Vendor and landlord relationships: cleaning, security, maintenance, repairs, access, furniture
- Conference room and workplace technology management: scheduling systems, office access tools
- IT equipment ownership: physical inventory, assignment, setup, tracking, replacement, and collection of laptops and company equipment (managing outsourced IT provider)
- Event and meeting support: company celebrations, team events, onsite activities
- Office expansion: leading future moves including broker/landlord coordination, layouts, furniture, vendors
- Problem-solving: handling unexpected issues in a fast-growing startup environment
You are organized, resourceful, highly dependable, and comfortable owning broad responsibilities. You proactively identify problems before being asked and take action to solve them. You understand that office ownership isn't a 9-to-5 responsibility—you respond to needs as they arise.
REQUIREMENTS:
- 2+ years of experience owning and managing the physical office of a high-growth startup or similarly fast-paced company, with primary responsibility for the office (not as part of a larger facilities team)
- Strong organizational skills and exceptional attention to detail
- High level of personal accountability; you follow through and close the loop
- Ability to manage many small, unrelated priorities simultaneously without losing track of details
- Strong judgment to determine what needs immediate attention versus what can wait
- Comfort managing basic workplace technology, IT vendors, computers, conference rooms, and office systems
- Experience purchasing and managing office furniture, equipment, and supplies
- Strong interpersonal skills; ability to interact professionally with employees, candidates, customers, executives, landlords, and vendors
- Service mindset without needing constant direction or supervision
- Comfort in startup environments where responsibilities evolve quickly and everyone pitches in
- Understanding that office ownership requires flexibility beyond standard hours
