Exotec is an international automation solutions company with over 1,000 employees, designing advanced systems to optimize warehouse performance. As Office Manager for the Munich office, you will be responsible for creating an exceptional employee experience while ensuring smooth workplace operations.
Your responsibilities will span multiple areas: planning and championing local employee engagement initiatives including events, wellness programs, and culture-building activities; serving as the primary point of contact for workplace operations to ensure employees, visitors, and clients have positive experiences; managing vendor and service provider relationships from sourcing through performance oversight; coordinating workplace projects, office improvements, and relocations; partnering with Finance on invoicing, budgets, and workplace services; supporting new hire onboarding; driving internal communications across the European team; and identifying opportunities to improve workplace services and operational processes.
This role sits at the intersection of workplace operations, employee engagement, and hospitality, requiring someone who can balance multiple priorities while maintaining a solutions-oriented approach in a fast-paced, multicultural environment.
REQUIREMENTS:
- Experience in workplace experience, office operations, facilities, hospitality, employee experience, event coordination, HR support, or related field
- Strong relationship-building skills and ability to work effectively with employees, leaders, vendors, and visitors
- Strong organizational and project management skills with ability to manage multiple priorities
- Proactive, solutions-oriented mindset with desire to continuously improve processes
- Ability to thrive in fast-paced, multicultural environment and work onsite full-time in Munich office
- Nice to have: Experience supporting employee engagement initiatives, onboarding programs, workplace operations, facilities management, or multinational teams; additional language skills (Italian or French preferred)
