Grafana Labs is seeking an Incentive Compensation Systems Manager to join its Incentive Compensation team and drive systemization, automation, and continuous improvement of commission operations. This is a high-impact individual contributor role reporting to the Senior Manager of Incentive Compensation, focused on operating in a fast-paced, remote-first environment.
You will own end-to-end incentive compensation processes, gaining deep exposure to how data flows from CRM systems (Salesforce), People systems (Workday), through calculation engines (Xactly), to payout and reporting (BigQuery). Your core mission is identifying gaps in existing processes, replacing manual workarounds with scalable systems, and bringing predictability, accuracy, and speed to commission, quota, and comp plan administration.
Key responsibilities include:
• Process & Gap Assessment: Map current-state workflows across plan administration, calculation, approvals, and payout. Identify manual, repetitive, or error-prone steps and prioritize based on risk, time cost, and business impact.
• Systematization & Automation: Design and build automated workflows, integrations, and tooling that replace manual processes—from data pulls and reconciliations to approval routing and exception handling. Reduce reliance on spreadsheets and ad-hoc scripts.
• Xactly ICM Ownership: Serve as hands-on owner of Xactly instances (Incent and Connect), configuring calculation rules, plan logic, and workflows to shift heavy lifting from manual work to the platform.
• AI-Enabled Process Automation: Identify where AI tools and LLM-driven agents can automate manual, repetitive work such as exception detection, data reconciliation, plan document review, and comp question answering.
• Systems Integration: Partner with IC, Finance & Strategy, People Ops, Revenue Operations, and IT/Data teams to ensure proper integration and clean, reliable data flow between systems.
• Documentation & Governance: Establish clear documentation, standard operating procedures, and controls for newly systematized processes to ensure auditability, maintainability, and prevent regression.
• Continuous Improvement Cadence: Set up repeatable processes for the IC team to identify and retire manual work as an ongoing discipline.
• Cross-Functional Enablement: Act as the go-to resource translating IC process needs into system requirements and translating system/data constraints back to stakeholders.
