Salary: USD 100,000 - 125,000 / annual
goop is a lifestyle platform founded by Gwyneth Paltrow in 2008, now spanning beauty, fashion, food, editorial content, podcasts, TV shows, live events, and retail. This role reports directly to goop's Founder & Co-CEO and serves as the executive's day-to-day operational partner, working closely with Co-CEO Moj Mahdara and the broader executive team.
You will be the executor behind the Founder's business, translating strategy and decisions into flawless execution. Your core responsibilities span five major areas:
**Calendar & Logistics Management:** Own the Notion calendar as the single source of truth for meetings, travel, launches, partner deliverables and deadlines. Coordinate with the Founder's Executive Assistant(s) on scheduling, availability and logistics. Produce executive dinners and events end-to-end—guest lists, invitations, RSVPs, vendor management, menus, gifting, budgets and on-site coordination. Flag calendar conflicts and upcoming deadlines weeks in advance.
**Project Management & Execution:** Build project plans in Notion for Co-CEO-led initiatives, track milestones and owners, and drive tasks to completion. Capture action items from executive meetings and ensure every one is tracked, assigned and closed. Maintain a live view of all active projects showing progress, risks and blockers, flagging issues early. Follow up with senior leaders to keep deliverables on schedule. Coordinate with the podcast production team on guest tracking, booking and scheduling. Route materials through approval workflows. Maintain master budgets and vendor trackers for each project. Keep a current library of approved assets (bios, headshots, boilerplate, brand guidelines).
**Strategic Partnerships Delivery:** Project manage brand partnership deliverables post-signature—timelines, assets, approvals, deadlines. Organize partner kickoff calls and maintain deliverables plans with owners, dates and approval status. Coordinate across internal and partner teams to ship on time and to spec. Keep partnership work-streams visible in Notion and Slack.
**Tools & Systems Setup:** Set up new tools and AI apps selected by the Co-CEOs, including configuration, accounts, permissions and integrations. Onboard the Founder and executives with training, guides and follow-up support. Execute tool migrations and consolidations with minimal disruption. Connect tools so workflows automate (e.g., meeting notes to Notion tasks, Slack requests to tracked to-dos). Coordinate outside developers and IT partners. Work with IT and security on access and data-security standards.
**Slack, Notion & Workspace Management:** Organize projects in Slack using canvases, lists, pinned files and links. Set up automated updates, summaries and reminders so leadership gets visibility without extra meetings. Build and maintain Notion databases, dashboards and templates. Administer Slack and WhatsApp workspaces—channel structure, naming conventions, permissions, archiving. Keep contact records accurate, deduplicated and consistently structured.
**Research & Trend Reports:** Manage a pipeline of research requests from the Co-CEOs. Research and compile trend reports across wellness, beauty, fashion, consumer, culture and AI. Run quick research on companies, categories and markets as requests arrive. Maintain a tagged, searchable research library in Notion. Use AI research tools and agents to scan sources and track emerging signals.
**Location & Travel:** This is a remote role; you must be based in a North American time zone. You will travel 8–10 times per year for meetings, events and team time. You work on the Founder's schedule and are available during her working hours, including early mornings or late evenings when needed. Core hours align with Pacific or Eastern Time, with occasional flexibility for time-sensitive travel, events and deadlines as the Founder travels across time zones.
**Requirements:**
- 3–5 years of business experience, including at least 2 years in project management or executive operations supporting C-level leaders. Consumer goods or brand partnership experience strongly preferred.
- Expert in Notion (calendars, databases, dashboards, templates, automations). Administrator-level experience with Slack (workspace setup, permissions, canvases, lists, workflows, channel management) and WhatsApp (business accounts, groups, access and security settings). Advanced user of Claude, ChatGPT and Gemini, and of Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides). Hands-on experience building workflows, AI agents and automations that connect these tools (e.g., Zapier, Notion automations, Slack workflows).
- Bachelor's or Master's degree in Business required.
- Exceptional written and verbal communication, with experience communicating directly with a founder or CEO. Exceptional organization, speed and follow-through. Experience working across time zones with global, cross-functional teams.
- Based in North America and able to travel 8–10 times per year.
