You will be hired as Executive Assistant & Office Manager, a brand-new role reporting to the Head of Operations. You'll split your time between supporting C-level leadership and managing the Camden office operations.
Executive Support Responsibilities:
- Manage calendar and travel coordination for frequently traveling leadership: itineraries, accommodation, contingency planning, and proactive time protection
- Support inbox management, correspondence, and follow-ups; serve as reliable point of contact between leadership and internal/external partners
- Handle expense reporting and reconciliation accurately and on time
- Prepare and coordinate materials for leadership, board, and all-hands meetings: agendas, pre-reads, minutes, action item follow-up
Office Management Responsibilities:
- Oversee day-to-day office operations and facilities in Camden
- Manage office supplies, vendor relationships, and maintenance
- Coordinate office events and team activities
- Support recruitment and onboarding processes
Key Opportunity:
This is a greenfield role with no inherited processes. You'll define what excellent executive and office support looks like at CarbonChain. The company deliberately integrates AI into the role—using it daily for drafting, scheduling, and triage—so the job emphasizes judgment and strategic thinking over administrative time. This aligns with CarbonChain's wider company direction and philosophy.
The role offers flexibility to shape how executive support and office management function in a fast-growing climate tech company.
Requirements:
The posting does not explicitly state years of experience, education, or specific certifications required. However, the role implicitly requires: strong calendar and travel management experience, excellent organizational and communication skills, ability to work independently and anticipate needs, familiarity with expense management systems, experience coordinating meetings and materials, office management or facilities coordination background, and comfort using AI tools for productivity and automation.
