Muon Space seeks an Executive Assistant to support the SVP of Mission Execution and the Mission Execution leadership team. This is an operations-focused role rather than traditional administrative support. The SVP manages their own calendar and travel; this person instead owns the operating mechanics of the organization—meeting cadence and artifacts, action item tracking and closure, organizational documentation and reporting, and logistics for offsites, reviews, and customer visits.
Mission Execution is one of Muon's largest organizations with approximately 130 people spanning mission management, mission systems, mission instruments, hardware engineering, production, and propulsion. This role owns the connective tissue that keeps seven functions and dozens of programs running on a common rhythm.
Key responsibilities include: owning the Mission Execution operating cadence by scheduling and running logistics for staff meetings, program reviews, all-hands, and skip-levels; maintaining action item and commitment tracking; building and maintaining recurring reporting on staffing, headcount, hiring pipeline, and OKR progress; owning the organization's documentation environment in Confluence; preparing and quality-checking materials for meetings and briefings; planning and executing team offsites, working sessions, and customer visits; administering purchase requests and expense reconciliation; coordinating onboarding logistics; running discrete operational projects with limited direction; and handling confidential personnel, customer, and export-controlled information with integrity.
The ideal candidate is highly organized, unusually persistent about follow-through, comfortable with technical people and content, and able to operate with minimal direction in an environment where priorities shift with hardware. The role requires 5+ years supporting a technical organization in an executive assistant, business operations, program operations, or engineering operations capacity. Experience in aerospace, hardware, or engineering-driven environments is preferred. Candidates should demonstrate ownership of recurring operating cadences for organizations of meaningful size, strong data and reporting skills, expertise in Google Workspace, Slack, Confluence, and Jira, superior organizational skills, and proven ability to manage multiple projects autonomously. An Associate's degree is required; Bachelor's preferred. This position is hybrid, requiring on-site work in San Jose three days per week, with potential for up to five days as needed.
