Formal is a data security platform that helps organizations understand and control their data in real-time through a protocol-aware reverse proxy for datastores and APIs. The company is backed by top-tier VCs including Thrive Capital and Y Combinator, with customers including Ramp, Gusto, and Notion. You will be Formal's first Executive Assistant & Business Operations hire, responsible for building and scaling the operational foundation of the company. Working directly with leadership, you'll own day-to-day operations across multiple domains including finance, people operations, executive support, and internal processes. Key responsibilities include: building and continuously improving internal business processes as the company scales; managing executive calendars, meetings, travel, and scheduling; capturing detailed meeting notes and tracking action items; supporting payroll administration and employee onboarding; provisioning accounts, systems, and equipment for new hires; generating customer invoices and managing billing operations; coordinating vendors, office operations, and workplace logistics; maintaining internal documentation and operating procedures; and partnering with leadership on high-priority operational initiatives. As an early team member, your responsibilities will evolve with the company. The ideal candidate loves creating order from ambiguity, notices details others miss, and enjoys making teams more effective. You'll need a bachelor's degree in Business, Finance, Economics, Operations, or related field, plus 1–4 years of experience in Business Operations, Operations, Executive Support, Consulting, or Office Management. Strong organizational skills, written communication, and note-taking abilities are essential. You should be highly process-oriented, comfortable managing multiple priorities in a fast-moving environment, resourceful, proactive, and able to operate with minimal direction. The role requires full-time onsite presence in the San Francisco office five days per week. Nice-to-haves include experience at early-stage or high-growth startups, familiarity with payroll, finance operations, billing, or accounting processes, experience with tools like Google Workspace, Notion, Slack, Ramp, Rippling, Gusto, or QuickBooks, and experience supporting founders or senior leadership teams.
