You will provide executive, administrative, and operational support to Domain General Managers within Turing's R&D organization. Your primary responsibility is managing complex calendars and coordinating priorities across multiple executives, teams, and time zones. You will support meeting preparation, communications, expense management, travel coordination, and other evolving administrative needs.
Key responsibilities include:
**Create clarity around executive priorities:** Manage calendars and competing priorities of Domain GMs across multiple time zones and stakeholders. Own complex scheduling and resolve conflicts based on business priorities. Protect focus time while ensuring critical meetings receive appropriate attention. Anticipate scheduling issues, maintain visibility into commitments, and track important follow-ups. Coordinate agendas, meeting logistics, materials, notes, and routine communications.
**Build a reliable operating rhythm:** Help create structure around the Domain GMs' work so meetings are purposeful, decisions are well-supported, and follow-through is consistent. Support recurring leadership cadences, operating reviews, and cross-functional meetings. Prepare and distribute relevant documents and information. Coordinate expense reporting and travel support. Establish organized systems that reduce friction for leaders and their teams.
**Strengthen the Executive Assistant team:** Operate as part of a coordinated EA team supporting Turing's R&D leadership. Partner closely with the EA to the CTO and collaborate with other EAs. Provide backup support when executive coverage is needed elsewhere. Keep scheduling aligned across the R&D leadership team. Handle sensitive information with discretion and professionalism.
You will work Monday–Friday, 9:00 AM–5:00 PM Pacific Time, supporting executives in a fast-moving, globally distributed organization where priorities and processes evolve. Within your first several months, you will have created reliable calendar systems, reduced scheduling friction, and built strong relationships with the leaders and teams you support.
**Requirements:**
- 5+ years of executive support experience in complex, fast-moving environments
- Demonstrated ability to manage multiple calendars, time zones, and competing priorities
- Strong judgment and organization; ability to distinguish urgency from importance and anticipate needs
- Experience working with other EAs and providing backup coverage
- Professional fluency in written and spoken English
- Proficiency with Google Workspace, Slack, Zoom, and related tools
- Must be based in Brazil or Colombia
