Solace is a Series C healthcare technology startup (founded 2022, $1B valuation) that helps patients navigate the U.S. healthcare system by pairing them with expert advocates and decision-support tools. The company is backed by top-tier VCs including Inspired Capital, Craft Ventures, Menlo Ventures, and others.
You will serve as Executive Assistant to senior leadership, including C-suite executives and Vice Presidents. This is a strategic, high-trust role that directly enables executive effectiveness and organizational scaling.
Key Responsibilities:
- Manage complex, multi-time-zone calendars for multiple executives, prioritizing by urgency, impact, and strategic value
- Triage inbound requests and protect executive time by managing hold blocks and resolving scheduling conflicts
- Plan and execute leadership meetings, team offsites, and company-wide events
- Attend meetings as a proxy when needed; capture detailed notes, clarify decisions, and track action items
- Draft and edit executive communications with professionalism and strong executive presence
- Serve as primary point of contact between executives and internal leaders, external partners, vendors, and stakeholders
- Digest, summarize, and escalate key information, updates, risks, and insights while maintaining confidentiality
- Own leadership operating cadence (staff meetings, business reviews, planning sessions, offsites) including agendas, notes, and follow-through
- Build and improve systems, templates, and processes to enhance executive productivity
- Manage end-to-end travel logistics, itineraries, reservations, and expense reporting
- Ensure seamless operational execution during high-volume periods and rapid change
Requirements:
- 5+ years of experience supporting senior executives (VP or C-suite level) in high-growth, fast-paced environments
- Exceptional calendar management, prioritization, and organizational skills
- Strong written and verbal communication skills; ability to draft clear, concise executive-level messaging
- Demonstrated judgment, professionalism, and ability to handle highly confidential information
- Excellent project management skills with strong bias toward execution and follow-through
- Ability to anticipate needs, solve problems independently, and stay ahead of deadlines
- Comfort operating in dynamic, ambiguous environments while maintaining calm and clarity
- High emotional intelligence and ability to navigate cross-functional relationships with empathy, tact, and confidence
- Must be based in the United States
