This Executive Assistant role is based in São Paulo, Brazil, supporting local leadership. You will be the operational backbone enabling senior leaders to drive impact at scale, with a particular focus on navigating Brazil's regulatory and cultural landscape.
Key responsibilities include:
- Managing executive calendars and diary coordination with a proactive approach
- Handling departmental operations including budget management and support ticketing systems
- Coordinating with third-party vendors and external stakeholders
- Facilitating communication and alignment with local regulators and key partners
- Drafting sensitive correspondence and preparing materials for high-level meetings
- Managing multiple concurrent projects, including off-sites and large-scale events
- Processing expenses and card returns with meticulous attention to detail
- Maintaining strict confidentiality and integrity with sensitive information
- Collaborating with Executive Assistants across the organization to share best practices
You'll need 4+ years of experience as an Executive Assistant or in an operational support role. Essential qualifications include the ability to navigate cultural nuances in local negotiations, experience managing operational tasks (budgets, ticketing, vendor relationships), strong problem-solving skills, ability to thrive in high-pressure environments, and excellent communication for internal and external correspondence.
Nice-to-have qualifications include experience in fast-paced fintech, banking, or consultancy environments, and fluency in Spanish.
