This Executive Assistant role supports the Chief People Officer and manages Santa Monica office operations. You will be the primary operational backbone for the CPO, handling complex calendar management, travel logistics, and day-to-day priorities. You'll manage sensitive HR and personnel data with complete discretion, screen and prioritize executive correspondence, and draft/edit communications and presentation materials for internal leadership and external partners. Additional responsibilities include supporting Board of Directors and Compensation Committee meetings—compiling materials, taking minutes, and tracking action items—and facilitating alignment between the CPO, People/Talent teams, and key stakeholders. On the office operations side, you'll oversee day-to-day Santa Monica office management, serving as the primary on-site point of contact for employees, visiting executives, property management, vendors, and guests. You'll manage vendor relationships, facilities logistics, physical access/security, office supplies, catering, and mail/deliveries. You'll also plan and execute local culture initiatives, team-building activities, holiday events, and hybrid/onsite meeting logistics, while maintaining office budget tracking, expense reporting, and vendor invoicing. QUALIFICATIONS: - 8+ years of experience supporting C-Suite executives; direct experience supporting a CPO, CHRO, or CEO preferred - Proven experience managing physical office space operations and facilities logistics - Background in a fast-paced, growth-stage, or public company environment - Deep experience handling sensitive and confidential HR/personnel information with absolute discretion - Exceptional written and verbal communication skills with high attention to detail - Kind, warm, positive, and proactive demeanor with a strong customer-service mindset - High adaptability to changing priorities in a dynamic, hybrid work setup - Advanced proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides), Slack, and modern workplace tools - Ability to be on-site at the Santa Monica office on a hybrid/regular schedule as required
