Fireworks AI is seeking an Executive Assistant to support senior leadership at a Series C AI infrastructure company ($4B valuation, backed by Benchmark, Sequoia, Lightspeed, Index, and Evantic). The company builds generative AI inference and fine-tuning platforms, independently benchmarked as the industry leader in LLM inference speed.
This is a high-trust, high-autonomy role requiring a proactive, detail-oriented professional who operates with discretion and moves fast. You'll serve as the connective tissue between executives and internal/external stakeholders, bringing sound judgment and calm professionalism to a fast-paced environment.
Key Responsibilities:
- Manage complex, multi-executive schedules with strategic prioritization aligned to business objectives
- Own executive inboxes: triage, prioritize, and respond on behalf of leadership; redirect vendors and external requests professionally
- Prepare executives daily with briefing notes, meeting context, action items, and agendas; follow up on deliverables
- Coordinate domestic and international travel end-to-end (flights, accommodation, ground transport, itineraries, expense reporting)
- Manage sensitive and confidential information with integrity
- Support strategic projects, internal initiatives, and ad hoc research independently
- Serve as primary liaison between executives and stakeholders; build relationships and stay attuned to organizational dynamics
- Handle expense reports, personal administrative tasks, and support other executives as needed
Ideal Candidate:
- Background in fast-paced environments (finance, technology, AI, or startups preferred)
- Clear, upfront communicator comfortable navigating ambiguity with confidence
- Meticulous attention to detail, especially scheduling and travel; strong prioritization in high-pressure settings
- Excellent written and verbal communication; professional and warm demeanor
- Natural relationship-builder who earns trust quickly across organizational levels
- Sound judgment about when to act independently vs. escalate
- Tech-savvy with modern productivity tools and familiarity with AI tools or workflow automation
