Carta is seeking an Executive Assistant to support the Chief Financial Officer and SVP of Finance. This role is part of a small, collaborative EA team at a high-growth fintech platform serving 55,000+ companies and managing $250B+ in assets.
Key responsibilities include managing the CFO's heavy calendar and coordinating complex scheduling across the G&A team, including audit committee meetings. You'll triage and respond to emails, Slack, and Google comments while maintaining the executive's inbox and ensuring timely follow-ups. The role involves coordinating speaking engagements, conferences, and international travel with full logistics management, including visa requirements and detailed itineraries.
You'll provide end-of-day briefings to prepare the CFO for upcoming priorities and maintain visibility on key meetings, external events, and conferences. Event planning and execution are core responsibilities—managing team meetings, offsites, agendas, materials, budgets, logistics, and hospitality. Additional duties include approving expenses, travel, and time-off requests for the executive's direct reports, serving as a liaison to gauge organizational sentiment, and contributing to broader EA team projects.
The EA team operates across New York, Sandy, and San Francisco with a hybrid model. This position requires 3 days per week in the San Francisco office. You'll report to an EA Manager and collaborate closely with the Finance team and broader leadership.
Ideal candidates have 4+ years of Executive Assistant experience supporting C-suite leaders, preferably in technology or banking. Board and audit committee meeting coordination experience is essential, along with demonstrated expertise in heavy calendar management and international travel. You must be detail-oriented, strategic, proactive, professional, and eager to learn the business while building strong relationships across leadership and peers.
