Convene Hospitality Group operates a global portfolio of lifestyle brands creating places and experiences for gatherings of all kinds. The Event Production Manager will oversee planning and execution of high-quality events at the 100 Stockton location in San Francisco, serving as the primary point of contact for clients throughout the event lifecycle.
Key responsibilities include planning and overseeing all aspects of physical, hybrid, and virtual meeting programs. You will manage client relationships from kick-off through post-event, developing event timelines and enforcing pre-production deadlines. The role requires effective communication with clients, sales teams, and internal departments including event operations, technology, and control room teams.
You will facilitate conversations to understand client needs across culinary, service, and AV requirements. Responsibilities include preparing room diagrams, coordinating with culinary and service teams on menus and timing, and partnering closely with AV teams to ensure technical needs are properly executed. You'll recommend and coordinate third-party vendors for event enhancements such as florists, musicians, and branding services.
Additional duties include hosting client run-of-show reviews for hybrid events, creating detailed event documentation and Program Execution Orders (PEOs), tracking project timelines in Clickup, and conducting pre- and post-event debriefs with internal stakeholders. You will supervise program checks, ensure client approvals and signatures, and collect program balances. Weekly PEO meetings with on-site operations teams and regular status updates to stakeholders are essential to ensure successful event delivery.
The ideal candidate has 3+ years in customer-facing roles with prior event planning and project management experience. Proficiency with web-based collaboration tools (Slack, Salesforce, SmartSheets, Google Suite) is required. Familiarity with SaaS platforms, event platforms, video conferencing, and web conferencing is a plus. You should demonstrate strong business acumen, problem-solving skills, ability to multitask under pressure, and obsession with customer satisfaction.
