UnitedMasters Translation is seeking a Creative Operations Lead to serve as a critical operational leader responsible for resource planning, capacity management, and workload balancing across the agency. This role sits at the center of the agency's capacity ecosystem and will own the rollout and ongoing adoption of a new resource management platform. Key responsibilities include: Resource Planning & Allocation: Own staffing allocations across all active client accounts, ensuring accurate and real-time planning. Lead the implementation of Translation's new resource management platform as the primary administrator and internal champion. Proactively surface capacity conflicts, over-allocation risks, and volume pressure points before they become delivery problems. Partner daily with the Program Management team to align headcount plans with project timelines and client demands. Maintain clear visibility into team availability, over-commitments, and skill gaps across all functions. Workload Balancing & Prioritization: Balance competing demands across billable client work, creative opportunities, new business pitches, and internal initiatives. Make clear recommendations on staff allocation between billable and non-billable work. Establish workload thresholds that protect talent from burnout while maintaining agency output and quality. Build frameworks for triaging competing requests to enable fast, informed staffing decisions. Freelancer Management: Proactively source and pipeline freelance talent in advance of high-volume periods. Manage relationships with preferred freelancers across disciplines to ensure priority access during demand peaks. Negotiate freelance rates strategically while maintaining agency margins. Vet new freelancers in partnership with discipline leads and key creative, strategy, and production leaders. Maintain an organized, current freelancer database with rates, availability, project history, and performance notes. Awards & Case Study Management: Own the end-to-end awards submission process, tracking eligible work and coordinating entries across relevant shows. Build and maintain a living library of agency case studies, ensuring accurate documentation and current information. Partner with Business Development, Business Leadership, Strategy, and Creative teams to capture compelling work narratives. Develop proactive awards planning calendars and workflows. Cross-Functional Partnership: Serve as a key operational partner to the PM team, creating alignment between resource plans and delivery commitments. Act as a trusted advisor to Business Leadership and Client Engagement teams on capacity and staffing strategy. Collaborate with People Operations on headcount planning and freelance needs. Represent resource management in agency planning conversations including scoping, new business, and organizational design.
