Neko Health is a preventative care company using proprietary technology and direct clinical care to deliver personalized health insights in a single non-invasive visit. The Clinical Practice Manager owns all practice management operations for Neko's US professional corporation, spanning provider credentialing, SOP organization, onboarding operationalization, and compliance assurance. The role manages four core areas: **Provider Credentialing & Primary Source Verification**: Run credentialing intake for all new providers, verify state medical/nursing licenses, board certifications, education, work history, and DEA registration. Operate the clear-to-practice gate ensuring no provider sees members until credentials are complete and verified. Maintain permitted scope by state and flag any out-of-scope practice requests to the Head of Compliance. **Expirables & Re-verification**: Own the expirables calendar for licenses, certifications, DEA registrations, and malpractice coverage, driven by automated alerts. Chase renewals ahead of expiry and escalate at-risk renewals. Remove clearance immediately when credentials lapse and notify clinical rota and compliance leadership same-day. Run re-verification cycles to prevent credential file aging. **Systems, Tooling & Automation**: Select, implement, and administer tooling for credentialing records, expiry tracking, onboarding workflows, and SOP version control. Replace manual tracking with automated alerts, scheduled reporting, and system-driven handoffs. Define data structures so status reports from systems rather than manual reconstruction. Integrate practice operations data with adjacent systems. **SOP Organization & Maintenance**: Own the SOP library for US practice operations—create, index, and version every procedure. Review each SOP on a set cycle and update when processes change. Retire obsolete SOPs and flag processes running without documentation. Keep SOPs accessible for daily staff use. **Onboarding Operationalization**: Turn each new provider's onboarding plan into a tracked sequence covering credentialing, system access, training, and clearance to start. Own the timeline from offer to start date and flag delays early. Coordinate with Talent Acquisition, People Team, and clinical operations. Improve sequences as volume grows, including automation of tracking and reminders. **Compliance Assurance**: Confirm US practice operations meet Head of Compliance standards. Run periodic checks and report gaps as they surface. Support audits with evidence from SOPs, onboarding records, and credentialing files. Escalate compliance gaps requiring action beyond this role. **Credentialing Process, Data & Reporting**: Keep credentialing records accurate and audit-ready for on-demand credential file production. Report credentialing status, upcoming expiries, and blocked providers into Medical Quality reporting on set cadence from system of record. Improve processes as volume grows. Prepare function for payer credentialing and provider enrollment if Neko moves to insurance billing. In the first 6–12 months, you will deliver: a current, auditable register of every clinician's license and credential with automated expiry tracking; complete credential files per provider with primary source verification evidence; a written credentialing procedure covering intake through removal of clearance; credentialing gate built into onboarding so start dates require verified credentials; a current, indexed, version-controlled SOP library reviewed on set cycle; an onboarding operations sequence tracked from offer to start with credentialing gate integrated; practice operations running in-system rather than spreadsheets with remaining manual steps documented and a removal plan; and a compliance status report generated from systems showing where operations meet standards and where they do not. **Requirements** Minimum: - Experience streamlining clinical or healthcare operations in a tech-enabled environment: demonstrated ability to rebuild manual, spreadsheet-run processes as system-driven workflows with documented results. - Experience in clinical operations capacity responsible for building systems to ensure credentialing, compliance, and other clinical operations processes are handled excellently. - Confident with operational tooling: configure and administer systems independently rather than relying on tickets for changes; comfortable working with data, reporting, and everyday automation. - Direct, hands-on experience with state medical board licensure and clinician credentialing processes, including primary source verification. - Experience maintaining a credentialing database or record system to audit-ready standard. - Experience developing, organizing, and maintaining SOPs in clinical or regulated operations settings. - Working knowledge of compliance standards in healthcare or clinical operations settings, with experience checking operations against them. - Precise and persistent administratively. Preferred: - Experience in digital health, telehealth, or tech-enabled care settings where clinical operations run on product and tooling rather than paper. - Hands-on experience with credentialing or provider data platforms and workflow/tracking tools used in operations. - Experience working alongside product or engineering teams to specify operational tooling requirements. - Direct experience with provider credentialing in US clinical settings, including multi-state credentialing. - Experience credentialing in newly opened markets or startup clinical services where processes did not yet exist. - Experience building SOP programs from scratch in growing or newly opened operations.
