As a Background Screening Specialist reporting to the Associate Manager of Support Operations Escalations, you will proactively manage an assigned queue of at-risk drug and occupational health screening reports, preventing escalations before they occur. You'll own the end-to-end coordination of complex cases that don't fit standard processes, using sound judgment and discretion to resolve situations while documenting resolutions to strengthen future processes.
Key responsibilities include:
- Actioning assigned queues of at-risk drug/occupational health screening reports and determining appropriate outreach strategies
- Proactively notifying customers about canceled reports, turnaround-time breaches, and other at-risk statuses before they escalate
- Calling clinics directly to resolve stalled results and missing documentation through coordination and judgment
- Sending scheduling and status updates directly to candidates for defined outreach triggers
- Deviating from standard operating procedures when situations warrant, with clear documentation
- Identifying recurring failure points and flagging them as process gaps to the broader program
- Partnering with Customer Success, Vendor Management, and Product teams to close individual cases and address systemic issues
You'll work in a fast-paced, collaborative environment where you raise the bar, move with urgency, and take ownership of meaningful outcomes. The role requires comfort with ambiguity, strong problem-solving skills, and a bias toward action.
REQUIREMENTS:
- 2+ years in a customer-facing, vendor-facing, or coordination-heavy role
- Experience in clinic, drug and occupational health, or background screening (preferred)
- Comfortable on the phone for extended periods; persistent without being pushy
- HIPAA awareness and sound judgment about PII/PHI sharing in clinic conversations
- Strong problem-solving skills and comfort operating in ambiguity where SOPs don't fully cover situations
- Track record of identifying patterns and escalating them, not just closing cases
- A-player mindset with strong bias for action, resilience through ambiguity, and ownership orientation
