Trexo Robotics is building powered wearable robots that enable mobility for children with movement disorders such as Cerebral Palsy. The company's devices are currently used by hundreds of families and leading hospitals across North America. You will join the clinical team as an Account Coordinator in a newly created role. You will be the operational backbone of the post-sale customer journey, managing clinical coordination and the complete account lifecycle from client handoff through onboarding and beyond. Key responsibilities include: **Clinical Team & Training Support** - Coordinate and schedule clinical onboarding, including coordination within the active sales process - Support scheduling clinical check-ins, consultations, and essential meetings between families and Clinical Specialists - Serve as the primary bridge for basic user support, assisting families with troubleshooting (e.g., password resets) and routing complex clinical or technical inquiries appropriately **Contract Administration** - Prepare, send, track, and manage customer contracts, renewals, and amendments - Coordinate contract-related changes, handling logistics and paperwork for device size upgrades and renewals - Maintain organized digital records of executed clinical contracts and correspondence **Device Updates & Recalls** - Coordinate scheduled hardware and software upgrades for devices in the field - Manage administrative, communication, and tracking aspects of product recalls and safety notices to ensure compliance **Research & Project Coordination** - Directly support completion of the Trexo Home Study - Collaborate with families, researchers, and internal teams to ensure timely clinical data collection, tracking, and reporting You are highly motivated, organized, and take full ownership of your work. You are a quick learner with strong problem-solving skills who navigates technical systems and clinical workflows with ease. You combine empathetic client interaction with excellent communication and are detail-oriented with a first-principles mindset. The role is hybrid, requiring 3 days per week in the Mississauga office. **Requirements:** - Bachelor's degree in Healthcare Administration, Kinesiology, Health Sciences, Business, or related field - At least 3 years of experience in clinical coordination, healthcare administration, customer success, or patient relations - Strong understanding of contract administration, scheduling logistics, and client lifecycle management - Excellent communication and deeply empathetic interpersonal skills, with ability to manage multiple families and clinical schedules simultaneously - Proficiency in scheduling software, CRM systems, and Microsoft Office Suite - Detail-oriented, organized, and comfortable working in a fast-paced, medically regulated environment **Nice to Have:** - Experience with Airtable, Zapier, PandaDoc, Notion, Stripe/Affirm, or AI assistants like ChatGPT or Claude Note: Candidates must already have legal right to work in Canada; visa sponsorship is not available.
