Flexport is seeking a Senior Manager of Procurement & Procure-to-Pay to lead the company's corporate indirect and warehouse procurement operations. You will manage a team of 5–10 people, owning the full procure-to-pay cycle from vendor negotiation through payment processing.
Key Responsibilities:
- Lead and develop a team of 5–10 people, setting priorities, coaching members, and maintaining high standards for accuracy and service.
- Design and implement clear purchasing and approval processes for corporate indirect and warehouse spend, ensuring business teams understand ownership and escalation paths.
- Lead vendor negotiations using spend data and commercial alternatives to improve pricing and terms; work with business owners and Finance to track realized savings.
- Maintain visibility of contracts, commitments, and renewal dates; coordinate with Legal and business owners to manage risks and negotiate before deadlines.
- Own purchasing approvals, invoice processing, exception resolution, and payments in coordination with Accounting and Treasury.
- Establish and maintain reliable records and controls, including approval authority, separation of duties, and safeguards against duplicate or incorrect payments.
- Challenge unnecessary spending with budget owners and track savings with Finance.
- Monitor key metrics: savings realized, renewal readiness, invoice accuracy, processing times, and payment timeliness; identify and fix root causes of recurring problems.
- Build and test AI-assisted workflows for spend analysis, contract review, and invoice exceptions; work with Finance Systems and technical teams to implement, train, and measure improvements while maintaining payment controls.
Success in the first year means: business teams follow a clear purchasing process with easy tracking of key vendors, contracts, and renewals; negotiations produce measurable savings and better commercial terms; invoices and payments are more accurate and timely with fewer exceptions and consistent controls; the team has clear responsibilities, stronger skills, and AI workflows that demonstrably reduce manual work.
Requirements:
- A record of strong results and increasing responsibility in procurement, finance, operations, consulting, or a related field.
- Experience leading and developing people, setting expectations, and addressing performance issues.
- Strong commercial judgment: ability to negotiate, weigh tradeoffs, and influence people with competing priorities.
- Ability to analyze spending and financial data in Excel, Google Sheets, or similar tools and translate findings into clear recommendations.
- Understanding of financial controls and how purchasing, invoices, and payments fit together; ability to learn unfamiliar systems quickly.
- Experience taking an unclear problem, building a workable process, and getting people to adopt it.
- Clear communication, reliable follow-through, and curiosity about better ways to work.
- Hands-on experience using generative AI to analyze information or improve a recurring workflow; ability to explain what you built, how you tested it, and what improved.
- Sound judgment about AI: checking results against source data, recognizing unreliable outputs, protecting confidential information, and knowing when human review is needed.
- Experience with indirect procurement, finance systems, or procure-to-pay operations is helpful but not required; the company values accomplishments and ability to handle the scope over exact title match.
