EcoVadis, a leading provider of business sustainability ratings, is seeking a People Operations Senior Associate to oversee local HR and Office Administration for its Tokyo office of approximately 55 employees. This role reports to the Regional HR Lead based in Hong Kong and bridges global HR strategy with local execution in Japan.
Key Responsibilities:
HR Strategy, Operations & Employee Experience: Work closely with the Regional HR Lead to localize and execute global HR strategies and initiatives aligned with company goals. Manage the complete employee lifecycle including onboarding, orientation, mobility, development, and offboarding in cooperation with internal teams and external service providers. Serve as a trusted advisor to local employees and managers, providing empathetic guidance, conflict resolution, and employee relations support. Handle employee disciplinary procedures and conduct employee relations counseling. Partner with service providers to manage HR administrative tasks, payroll, and benefits administration. Maintain and update local Rules of Employment, Article 36 Agreements (Saburoku Kyōtei), and other mandatory regulatory filings.
AI Adoption & Continuous Improvement: Actively evaluate and adopt Generative AI tools and automated HR workflows to streamline routine administrative tasks and increase process efficiency. Develop and update local HR policies and plans to enhance employee relations. Analyze employee engagement survey results and feedback metrics to design local initiatives that nurture a positive, psychologically safe, and inclusive culture.
Workplace Experience & Office Administration: Manage statutory Health and Safety requirements, including Health Committee meetings (Eisei Iinkai), annual employee health checks (Kenkō Shindan), and stress checks. Provide HR and office administrative support to the office and team. Deploy global General Administration and Sustainability guidelines to maintain eco-friendly workplace practices. Act as a key point of contact with the co-working space operations team. Coordinate office supply management, emergency response planning, and visitor hosting to maintain an agile, safe, and collaborative work environment.
Requirements:
- 8+ years of progressive HR generalist operations experience in a multinational corporation in Japan
- Full-professional level Japanese fluency; excellent spoken and written English
- Sharoushi certification highly advantageous
- Working knowledge of office management and health & safety management preferred
- Demonstrated enthusiasm for leveraging Gen-AI tools and modern HR Tech
- Familiarity with employment-related Japanese labor regulations
- Knowledge of employee compensation and benefits administration
- Hands-on experience partnering with external payroll providers and Sharoushi (Labor & Social Security Attorney) firms
- Proven track record handling complex employee relations, performance management, and disciplinary procedures with tact, confidentiality, and integrity
- Flexibility to meet internal client demands, global HR projects, and willingness to go the extra mile
- Team player with strong collaboration and cross-department cooperation abilities
- Ability to work well in international and multicultural environments to foster diversity, inclusivity, collaboration, and teamwork
