XBOW is an AI-driven cybersecurity company automating offensive security testing to help organizations identify and address vulnerabilities. You'll join as Legal Operations and Contracts Manager, sitting at the heart of the legal function and serving as a bridge between Legal and the wider business. You'll own day-to-day legal workflows, support commercial contracting, and build scalable processes as the company grows. This is a hands-on role combining substantial paralegal experience with legal operations expertise. Key responsibilities include: **Keep Legal connected to the business:** Serve as a central point of contact for legal requests, gather relevant information, coordinate priorities with legal counsel, and track matters to completion. Build strong relationships across Sales, Finance, Product, Engineering, Security and People teams. Help colleagues understand legal processes and approval requirements. Work closely with Sales and Finance on commercial agreements and operational bottlenecks. Provide clear stakeholder updates on timelines and dependencies. **Support commercial contracting:** Draft, review and negotiate NDAs and lower-risk commercial agreements within agreed playbooks. Support customer contracting by preparing templates, coordinating internal reviews, and managing approvals and signatures. Identify non-standard terms and escalate complex issues to legal counsel. Maintain contract records, track obligations, renewal dates and notice periods. Develop contract templates and negotiation playbooks to enable efficient routine handling. **Build and run legal operations:** Own administration of legal intake, matter tracking and contract management systems. Implement and improve workflows for contract review, approvals, signatures and document retention. Produce reporting on legal demand, contract turnaround times, outstanding matters and external legal spend. Coordinate external counsel onboarding, engagement administration, invoices and budget tracking. Manage legal subscriptions and service providers. Identify opportunities to automate repetitive tasks using approved AI tools. **Provide broader paralegal support:** Conduct legal research and prepare initial drafts of internal guidance and correspondence. Support corporate housekeeping, governance records and signature processes. Maintain legal policies and coordinate training. Coordinate customer due diligence inputs. Support legal projects as the company evolves. You'll take ownership, communicate candidly and collaborate across teams. You'll be comfortable moving quickly, adapting as priorities change, and focusing effort on improvements that make practical difference. **Requirements:** Essential: - 8+ years of relevant experience spanning paralegal work and legal operations, including at least 2+ years in-house - A legal qualification, paralegal certification or equivalent relevant experience (solicitor or attorney qualification not required) - Practical experience supporting commercial contracts and working within templates, playbooks and approval frameworks - Track record of taking ownership of legal processes and improving how a legal team operates - Strong organisational skills and attention to detail, with ability to manage competing priorities - Confidence working with business stakeholders and translating legal processes into clear, practical steps - Sound judgement about what you can resolve independently and when to involve legal counsel - Experience with contract management, electronic signature and workflow tools, and interest in responsible uses of AI Advantageous: - Experience in technology, SaaS, cybersecurity or AI - Familiarity with customer procurement processes, data protection documentation and international business operations - Experience in a startup or scale-up environment (strongly preferred)
