Liquid AI, spun out of MIT CSAIL, is building efficient AI systems that run on CPUs with low latency and minimal memory for enterprises in consumer electronics, automotive, life sciences, and financial services. This dual-function role combines executive support for the Co-Founder & Chief Science Officer with full operational management of the Boston office. EXECUTIVE SUPPORT (CSO) You will own and manage a complex, fast-moving calendar for a senior leader with heavy external and speaking commitments. This goes beyond scheduling: you'll filter requests aligned with strategic priorities, protect time for deep research work, and make judgment calls on what gets access to the CSO's time. You'll prepare comprehensive briefing materials, agendas, and context ahead of meetings, then track follow-ups and commitments to ensure nothing falls through the cracks. You'll coordinate domestic and international travel including conferences, speaking engagements, and partner visits. You'll serve as a trusted point of contact for internal and external stakeholders seeking time with the CSO, and provide backup coverage for other executive assistants as needed. BOSTON OFFICE MANAGEMENT You'll own day-to-day operations of the Boston office, including supplies, kitchen and catering, mail and deliveries, seating, and workspace upkeep. You'll manage facilities vendors and building management relationships, handling contracts, service issues, and access/badging. You'll be the on-site point of contact for visitors and the person employees turn to when something needs sorting. You'll support new hire first days with desk setup, equipment coordination with IT, and a proper welcome. You'll own the partner and visitor experience—logistics, preparation, and atmosphere for high-value engagements. You'll plan and run Boston office events, team socials, dinners, and offsites, including vendor sourcing and budget management. You'll manage the office and events budget, tracking spend and flagging variances. Travel is occasional (3–5 times per year) for events. SUCCESS METRICS In year one, the CSO's calendar will be structured around research and high-leverage external activities, giving him back hours each week. Meetings will be prepared, follow-ups tracked, and stakeholders will trust you as the route to his time. The Boston office will run smoothly—functional, welcoming, and a place people want to work from. Boston events will run on budget and partner visits will consistently leave a strong impression. REQUIREMENTS Must-haves: - Experience supporting senior executives in fast-paced/high-growth tech or research environments, with demonstrated ability to take initiative and operate beyond core administrative tasks - Office management or facilities coordination experience, including vendor and budget ownership - Complex calendar and travel coordination experience, ideally for a leader with heavy external and speaking commitments - Strong business context awareness: understanding the "why" behind meetings, not just logistics, and ability to flag when priorities conflict - Event planning and vendor management experience - Ability to work in the Boston office 5 days per week (in-person role by design) - Proficiency in Google Workspace Nice-to-have: - Experience supporting a technical, research, or academic leader - Experience hosting external partners or clients in professional settings - Experience standing up or scaling office operations in a growing company - Slack experience
