As Candidate Experience Coordinator, you will be the operational engine of the Talent Acquisition function, owning the end-to-end candidate journey and serving as a launchpad for your career with significant project ownership and cross-functional visibility.
Key Responsibilities:
**Candidate Experience Architecture:**
- Serve as the primary, consistent point of contact for candidates, ensuring timely, seamless, and supportive interactions throughout the recruitment process
- Host and lead onsite (or virtual) interview days, welcoming candidates and ensuring they feel prepared and impressed
- Partner across the team to design authentic candidate communications aligned with company values, including managing early-stage rejections with empathy
- Orchestrate complex, interdisciplinary interview loops across multiple time zones with speed and efficiency, proactively managing last-minute changes
**Operational Excellence & Data Integrity:**
- Champion data quality and consistency within the ATS (Greenhouse), managing job setup, building interview processes, and maintaining accurate candidate statuses to enable precise reporting
- Oversee critical onboarding and compliance operations, including right-to-work checks, background checks, and data integration with relevant systems
- Educate the talent team on data accuracy and Greenhouse best practices in both hiring and onboarding
- Analyze candidate survey data in partnership with the Principal Talent Lead, turning insights into meaningful actions to continuously improve standards
- Proactively identify recurring scheduling challenges and process delays, suggesting improvements and piloting new workflows
**Enablement & Strategic Partnership:**
- Utilize AI to document core TA processes, creating clear guides for complex scheduling, offer workflows, and other critical functions
- Ensure effective training for new coordinators and wider TA team members
- Build deeper context on supported roles through domain alignment with specific business verticals
- Partner closely with Hiring Managers, leveraging diverse skills and perspectives across the organization
**Requirements:**
Essential:
- Exceptional organizational skills with ability to prioritize multiple functions while maintaining meticulous attention to detail in a fast-paced environment
- Strong focus on candidate experience with empathy to manage relationships throughout the entire recruitment lifecycle
- Tech and data savvy with experience using online calendar/meeting applications (G-Suite preferred) and a data-driven approach advocating for clean data
- Excellent communication skills, capable of keeping stakeholders updated and writing human-first correspondence
- Experience scheduling and coordinating across multiple time zones with a global mindset
- Ability to learn complex systems quickly and willingness to question existing processes to find better solutions
Nice to Have:
- Deep experience with Applicant Tracking Systems, specifically Greenhouse
- Experience leading or contributing to operational projects (event logistics, data cleanup, survey rollouts)
- Agency or search firm experience acting as main point of contact for external partners
Hybrid working: 3 days per week in office (currently Tuesday, Wednesday, and one additional day).
